Every safari we design is a personal contract of trust between our team and yours. These terms set out how that contract works, so there are no surprises for either side.
A safari is confirmed once we receive your signed itinerary and a non-refundable deposit of 30% of the total invoice. The balance is due no later than 45 days before your first day on safari. For bookings made within 45 days of arrival, full payment is required at the time of confirmation.
Payments can be made by bank transfer, credit card or M-Pesa. Any bank charges, card processing fees or currency conversion costs are payable by the guest.
All cancellations must be submitted in writing to info@leopardsorchidsafaris.co.ke. The date we receive that written notice is the date used to calculate charges.
More than 60 days before arrival: loss of the 30% deposit. 60 to 30 days: 50% of the total invoice. 29 to 15 days: 75% of the total invoice. Fewer than 15 days or a no-show: 100% of the total invoice.
Some lodges and camps operate their own stricter cancellation policies during peak season, and where they apply we will make these clear in writing before you confirm.
In the rare event we must cancel your safari for reasons within our control, you will receive a full refund of every payment made to us. Our liability is limited to the amount you have paid us, and does not extend to flights, visas or any other third-party costs.
We are not liable for changes or cancellations caused by force majeure, including but not limited to natural disasters, disease outbreaks, political unrest, strikes, road closures or acts of government.
Comprehensive travel insurance is a condition of travel with us. Your policy must cover medical evacuation, hospital treatment, trip cancellation and lost baggage for the full duration of your stay. Please carry proof of insurance and share the policy number with our office before departure.
You are responsible for holding a valid passport with at least six months of validity beyond your travel dates and any required visas for the countries on your itinerary. Yellow fever vaccination certificates may be required for cross-border travel between Kenya, Tanzania, Uganda and Rwanda. We are happy to advise, but we cannot be held responsible for entry refusals.
Prices quoted are per person sharing in US dollars unless otherwise agreed. They cover the services listed under 'What is included' in your itinerary. Anything not explicitly listed, including international flights, visas, tips, laundry, personal shopping and drinks beyond those noted, is at the guest's expense.
Park fees, government taxes and lodge rates are set by third parties. If any of these change materially between the date you book and the date you travel, we reserve the right to pass the difference on with full written notice.
A safari itinerary is a living document. Wildlife moves, weather changes, roads close. Our guides may adjust routes or timings in the interest of safety, comfort or a better sighting. Any material change in accommodation or destination will be discussed with you first wherever practical.
Leopard Orchid Safaris acts as an agent for lodges, camps, airlines, ground transport providers and other third parties. We accept no liability for any injury, loss, delay, damage, illness or expense arising from the acts or defaults of those third parties, nor from acts of God, force majeure or the personal negligence of any guest.
By confirming your booking you accept these limits on our liability and agree that any claim will be governed by the laws of Kenya and settled in the Kenyan courts.
Guests are expected to follow the reasonable instructions of guides and camp staff, particularly around wildlife, fire and personal safety. We reserve the right to end a safari for any guest whose behaviour endangers themselves, other guests, our staff or the wildlife, and no refund will be given in that case.
During your safari our guides may take photographs and short videos. Unless you tell us otherwise in writing, you agree that we may use these, along with any review you kindly leave us, for marketing purposes across our website and social channels. Full-name identification will only ever be used with your explicit consent.
The personal information you share with us is handled in line with our Privacy Policy. We keep only what we need to plan and deliver your safari, and we never share your details with any party outside the trip you have booked.
These terms are governed by the laws of the Republic of Kenya. Any dispute will be handled in good faith through direct discussion first, and, if unresolved, through the Kenyan courts.
