Structure it as an opt in extension

Trying to move an entire conference into the bush rarely survives a budget review. An extension does: the conference runs as planned in Nairobi, and delegates choose a two or three night safari afterwards at a fixed per person price they can put on a personal card or a departmental budget.

Keep it to one park and fly

Delegates leaving on a Friday afternoon should be on a game drive by Friday evening. That means flying to a Mara airstrip rather than a six hour road transfer, and staying in one camp for the whole extension.

What to tell delegates in advance

Baggage limits on light aircraft, the temperature at dawn, the fact that game drives are not optional lie ins, and the visa position if the extension crosses a border. A one page briefing sent with the invitation removes almost every question we normally field on arrival day.

How late can delegates confirm?
Camps and light aircraft seats are the constraint. Two to three weeks before is usually workable outside peak season.
