Retreats fail when a beautiful location is chosen before anyone has agreed what the days are for. Strategy offsites need rooms with power, projection, breakout space and reliable connectivity. The logistics that decide whether it works

Delegates arrive on different flights across a day and a half. Someone has to meet each of them, know which vehicle they are in, and move them without them ever waiting in a lobby wondering. That is not a transport line item, it is the programme.

We run arrivals as a manifest: flight by flight, named driver per vehicle, a WhatsApp group for the organiser, and a fallback vehicle on standby. Group movements to sessions and dinners run on the same discipline.

Designing the agenda around the wildlife, not against it

Game drives are at dawn and late afternoon, which is exactly when a conventional agenda wants plenary sessions. The fix is simple once you accept it: sessions between nine and four, wildlife at the edges of the day, and a bush dinner rather than a hotel banquet on the final night.

Awards and recognition land far better around a fire on the plains than in a ballroom, and it costs less than most planners assume.

The strongest incentive programmes are specific enough to picture. A balloon flight over the Mara at dawn, a private conservancy camp for top performers, a Kilimanjaro sunrise breakfast. Vague luxury does not motivate. A named experience does.
